Switching from Workable: Migration Guide

How to move a Workable pipeline to a new ATS: what data to export, the two export paths Workable supports, and why the import side — not the export — is where switches get expensive.

Switching from Workable means exporting your open jobs and candidate pipeline, then bringing that pipeline into your next ATS without losing pipeline stage, notes, or resumes along the way. Workable supports getting that data out; the part that decides whether the switch goes smoothly is what your next ATS does when you bring it in.

  • Export before you cancel. Pull candidate and job data out of Workable while the subscription is still active — a cancelled account loses access to export tools.
  • Two export paths exist, a bulk data download and an API-token pull for a fuller, structured export; which one you can use can depend on your Workable plan.
  • Run both systems in parallel for at least one full hiring cycle so no candidate falls through a gap mid-interview.
  • The import side is where switches usually get expensive, not the export — many ATS platforms meter or cap how many candidates you can bring in at once. Reqcore doesn't, on any plan.

The real risk in an ATS switch isn't losing your data on the way out — it's landing in a system that charges you more the moment you import the pipeline you already built.

Disclosure: Reqcore is our product, and this guide is written to get your data out safely whichever ATS you land on next, not only Reqcore.

Why teams switch off Workable

The most common reason isn't a missing feature — it's the bill. Workable prices its Standard, Premier and Enterprise tiers by employee headcount rather than hiring activity: Standard starts at $360/month for a 1–20 employee company, Premier is $599/month and Enterprise is $719/month, verified against Workable's own pricing page on 16 July 2026. Crossing a headcount band moves the bill up regardless of how much you're actually hiring, and texting, video interviews and candidate assessments are separate paid add-ons on Standard rather than included. Teams that need custom HRIS/HCM integrations — Workday, Oracle HCM, Paylocity — find those gated to Premier and Enterprise and billed on top, also verified against Workable's own site on 16 July 2026. None of that makes Workable a bad product for the buyer it's built for; it's simply the trigger that sends a specific kind of buyer looking for a different pricing model, not a different feature set. If you haven't settled on where you're moving to yet, start with the best Workable alternatives for a full option-by-option comparison before you begin exporting anything.

What actually has to move

A Workable-to-elsewhere migration is really two data sets: your open (and recently closed) job postings, and your candidates — resumes, contact details, pipeline stage, and any notes or tags attached to them. One third-party migration guide that connects to Workable's export tooling documents the specific fields it pulls: candidate email, name, resume, tags, pipeline stage, social profile, and phone, plus job title, location, department, description and status (help.breezy.hr, accessed 21 July 2026). Treat that as representative of what's portable, not as Workable's own published spec — Workable doesn't publish a field-level export spec on its own site.

Getting your data out of Workable

Workable supports two paths out: a self-serve Candidate details report CSV (available on any plan, but it excludes resumes), and a fuller export — either a support-requested full data export with resumes, or a pull via Workable's API using an access token generated on your account. How to export candidates from Workable walks through all three, including which one actually includes resume files and who's allowed to trigger each one.

The applicant-flood import wedge: why the import side matters more than the export

Getting data out of Workable is a solved, if fiddly, problem — plenty of ATS vendors, including Workable itself, expect it. The part that actually breaks migrations is the other end: an ATS that meters candidates, caps imports, or nudges you toward an upgrade the moment you load in a pipeline you already built somewhere else. Reqcore is built around the opposite assumption. Applicants are never metered on any plan — importing 50 candidates or 5,000 doesn't change what you pay, because Reqcore prices by active role, not by how many people are in your pipeline, and the product is free to use until your first shortlist, no card required (reqcore.com/pricing). If the reason you're leaving Workable is that your applicant volume outgrew a headcount-priced plan, an ATS that charges more for the same reason defeats the point of switching.

A realistic switching timeline

Don't cut over in a single day. Keep Workable active and keep posting to it while your new ATS comes online, and plan for the transition to run alongside your current hiring cycle rather than pausing it — most teams find two to four weeks of parallel operation enough to confirm nothing important got left behind before closing out Workable for good. In that window:

  • Import your existing candidates and open jobs into the new system first, and spot-check that pipeline stage and resumes carried over correctly.
  • Keep new applications flowing into Workable until every active job posting has a working equivalent live on the new platform — don't let candidates apply into a system you're about to abandon.
  • Notify candidates who are mid-interview if the tool they'll interact with (scheduling links, portals) is changing.
  • Only cancel Workable once you've confirmed the export is complete and validated — cancelling first forfeits export access.

Start the switch

If applicant volume, not a missing feature, is why you're leaving Workable, bring your full pipeline to Reqcore without worrying about what that import costs — it's free until your first shortlist, and applicants are never metered after that. See how Reqcore's pricing model compares to Workable's for the full breakdown, or start free and import your existing pipeline directly.

FAQ

Do I need to keep paying for Workable while I migrate?

Yes, until you've confirmed your new ATS has everything it needs. Cancelling Workable before the export is complete and verified means losing access to the export tools that make the migration possible in the first place.

What data can I actually get out of Workable?

Candidate records (name, email, phone, resume, pipeline stage, tags) and job data (title, location, department, description, status) are portable through Workable's bulk export or API-token pull, per third-party migration documentation. Workable does not publish its own field-level export specification, so confirm exact field coverage against your account before relying on it.

Does importing a large existing pipeline into Reqcore cost extra?

No. Reqcore never meters applicants on any plan, so importing an existing pipeline of any size — 50 candidates or several thousand — doesn't change what you pay. Pricing tracks active roles, not pipeline size or company headcount.

How long does switching from Workable usually take?

Plan for a parallel-run window rather than a single cutover day — most teams keep both systems active for two to four weeks so nothing active gets lost mid-transition, then cancel Workable once the new system is verified.
